Summary
This position will help prepare and oversee approved budgets for Housing & Residence Life and Children’s Enrichment Center operations within the Division of Student Affairs. They will ensure proper accounting and budgeting processes are followed for assigned Division of Student Affairs units including monitoring budgets, billing processes, payment processing, and expenditures. They provide financial reports and related guidance for leadership, assisting in decision-making to accomplish goals and objectives for the auxiliary operations within the Division of Student Affairs and GVSU.
PRIMARY DUTIES
- Develop maintain, review, and analyze the Student Affairs auxiliary funds. Monitor approval of expenditures to ensure compliance with State and University policies and budget. Initiate any corrections or adjusting entries.
- Coordinate monthly and quarterly preparation of financial analysis reports for Housing and Residence Life and Children's Enrichment Center.
- Collaborate with Housing and Residences Life team to prepare and oversee unit budgets for a 6,000 bed, over $35 million operation using trend analysis and forecasting involving historic, current-year, and multi-year review of expenditures and revenues. Report budget variances to appropriate unit staff. Provide recommendations and functional expertise to ensure satisfactory annual fiscal operations.
- Collaborate with Student Affairs auxiliaries on internal and external audits. Prepare ad-hoc financial reports and comply with requests for information and audit processes. Implementing changes in policies and procedures as necessary.
- Lead the compilation of annual Student Affairs auxiliary budgets and room rate structure for Housing and Residence Life. Including preparation of annual budget documents for presentation to University leadership.
- Ensure accuracy and integrity of information between departmental and university financial systems (i.e. Adirondack, Conference Programmer, ProCare and Banner/Workday) via established reconciliation procedures and reporting.
- Advise on the development and implementation of policies, procedures, and programs related to the continuous improvement of Student Affairs auxiliaries in connection with University mission, values, and goals. Recommend systems and procedures for internal controls as necessary.
- Prepare ad-hoc financial reports for the Division of Student Affairs and Business and Finance as needed.
- Serves on University committees as requested.
- Performs other duties as required/assigned by supervisor.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
- Bachelor's degree in Finance, Accounting, Business, or related field, and a minimum of five years’ related experience.
- Experience with budgeting cycles, financial modeling, variance analysis, and operational forecasting.
- Outstanding organizational skills and the ability to complete projects on a timely basis and to manage multiple priorities.
- Excellent interpersonal skills with the ability to interact with students, faculty, and staff.
- Demonstrated DEI competency in leading institutional policies and practices.
- Excellent analytical abilities to assess complex financial information.
- Effective oral and written communication.
- Experience with accounting/budgeting systems
KNOWLEDGE, SKILLS AND ABILITIES PREFERRED
- Master’s degree or equivalent experience.
- Experience in higher education.
- Experience with fund accounting.
WORKING CONDITIONS
Normal office environment. Some travel may be required.
