Job Summary:  The Annual Giving Assistant assists the Annual Giving team in its digital fundraising programming and campaigns. This position is responsible for communications, database management, and program logistics that encourage donor acquisition and retention. Skill levels should demonstrate strong written communications, experience working with database systems, and events/large project management. This position operates in a fast-paced, detail-oriented environment. The ideal candidate will exercise initiative and judgment to proactively manage and prioritize a variety of tasks and responsibilities with effective communication to meet the needs of a growing Annual Giving team. This position reports to the Senior Director of Annual Giving and Digital Strategy.

 

Essential Functions:

  • Responsible for specific projects and activities whether self-initiated or initiated by the Annual Giving team which may involve planning and coordinating work, analyzing and preparing reports, complex correspondence, making recommendations and other duties associated with the successful conducting and completion of annual giving campaigns and securing annual gifts.
  • Acts with a high degree of independence while facilitating annual giving projects including print, electronic, multi-media solicitations, and stewardship pieces.
    • Maintains and monitors/analyzes complex budgetary campaign records and reports by performing duties such as reconciling, monitoring, verifying expenditures, reviewing budget statements regarding status of accounts and making recommendations as to projected budget.
    • Creates and updates content in the Emma email distribution system and GiveCampus crowdfunding platform.
    • Manages the annual giving stewardship program, updating emails and direct mail pieces, creating new opportunities to thank donors throughout the year
    • Manages monthly gift anniversary emails and other recurring donor communications
    • Runs the logistics behind large giving days including Giving Tuesday and GVSU’s inaugural Day of Giving including campus wide meeting coordination, event logistics, marketing support, and volunteer management.
    • Helps create a donor-centered environment, meet customer needs, and collaborates on donor communications
    • Proofreads projects, including donor recognition lists, event invitations, and other communications materials with extreme attention to detail, spelling, and grammar.
    • Analyzes annual giving campaigns and communications and produces summary reports.
  • Utilizes CRM Internet Reporting and other tools to analyze, manage data, troubleshoot, and prepare reports in support of decision making for the Annual Giving team.
    • Extracts, directs, pulls, cleans, and project manages mailing lists consisting of complex data criteria.
    • Assists with maintaining and updating information in University Development’s CRM software, following departmental procedures, and entering actions as requested by Annual Giving staff.
    • Provides accurate standard weekly, monthly, and annual reports in addition to ad hoc reports requested by team members; identify and research potential errors for correction.
    • Compiles and logically formats statistical data and reports. Maintains, processes, and manipulates data using word processing, database, and spreadsheet applications.
  • Serves as programmatic and logistical support for annual giving volunteer programs, student philanthropy initiatives, events, and digital campaigns.
  • Researches annual giving best practices, trends, and strategies to help inform annual giving strategy and programming
  • Documents and maintains department processes, including, but not limited to, daily tasks, data collection, reporting, and policies and procedures.
  • Receives information and requests from diverse publics, both internal and external to the University, and determines the appropriate way to handle.
  • Processes and maintains all information in a confidential and professional manner.
  • Creates, maintains, and updates files and record keeping systems; paper and/or computerized.
  • Mentors, trains, and helps oversee student employees
  • Provides clerical support for the Senior Director of Annual Giving and Digital Strategy and other annual giving team members as needed. This includes calendar maintenance, meeting set up and preparation, travel arrangements, purchasing, mail processing, file maintenance, other clerical tasks for the department as assigned.
  • Shares in clerical/administrative support for the development department as required.
  • Other duties as assigned by manager.

Required Qualifications:

  • High school graduate or equivalent.
  • Minimum of four years of relevant work experience.
  • Demonstrated administrative and organizational skills.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Demonstrated experience to successfully coordinate large projects.
  • Demonstrated experience to successfully handle multiple demands efficiently.
  • Demonstrated experience to successfully organize and prioritize workload.
  • Demonstrated experience to successfully navigate challenging situations in the workplace, while using good judgment.
  • Demonstrated experience to successfully work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.

 Preferred Qualifications:

  • Bachelor’s degree.
  • Employment experience in a higher education setting.
  • Minimum of 2 years project management or event management experience.
  • Demonstrated experience crafting communications for external audiences and/or experience with digital fundraising tools like crowdfunding software.
  • Experience supporting a team of individuals.
  • Experience in a fundraising environment.
  • Demonstrated experience to successfully use Excel, CRM/Database software, CMS (web design software), and email distribution systems. Including importing and exporting data, developing custom queries, data analysis, and list management.
  • Demonstrated ability for positive interaction with tact and diplomacy regarding donor and department concerns.

Supervision Received: Receives minimal supervision from a designated supervisor. Much of the work is self-initiated.  Person is expected to function with considerable independence and apply appropriate policies and procedures within the assigned area of responsibility.

Supervision Exercised: Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
